Users can send an email to one, multiple, or up to 250 selected clients directly from the Clients page. This allows you to send targeted communications.
Requirements
Before sending a bulk email:
- You must have the Send text messages to client permission.
- Each recipient must have an active Customer Portal account with an email address on file.
- The client must have Email notifications enabled under Inbox Messages & Account Notifications.
If a selected client doesn't meet these requirements, they will appear in the pre-send confirmation as one of the following:
- No Email – No email address is associated with the client's portal account.
- Not Invited – The client does not have an active Customer Portal account.
- Notifications Off – The client has disabled email notifications, unsubscribed from all emails, or their account is inactive or not portal-enabled.
Send a Bulk Email
- Go to Clients.
- Use filters, Tags, or search to identify the clients you want to contact.
- Select the desired clients.
- Review the recipient confirmation window to verify who will receive the email. Any excluded clients are listed along with the reason they won't receive the message.
- Click Send Message.
- Select Email.
- Enter a Subject.
- Compose your message and attach files if needed.
- Up to 250MB
- Click Send.
What Happens When You Send a Bulk Email
Each selected client receives an individual email sent to the email address associated with their Customer Portal account. Although you send the message to multiple clients at once, recipients receive individual emails rather than a group email.
Replies are sent directly to the internal user who sent the email.
Bulk emails sent from the Clients page are not stored in the Team Hub Inbox. Sending an email does not create an Inbox conversation, and email opens or clicks are not tracked.
If an email cannot be delivered after it is sent, the sender does not receive a delivery failure notification.
Recipient Confirmation
Before the email is sent, you'll see a confirmation showing who will receive the email and who will be excluded.
Clients may be excluded for one of the following reasons:
- No Email – The client does not have an email address associated with their Customer Portal account.
- Not Invited – The client does not have an active Customer Portal account.
- Notifications Off – The client has disabled Email notifications for Inbox Messages & Account Notifications, has globally unsubscribed from email notifications, or their account is inactive or not portal-enabled.
Attachments
You can attach files to your email.
- Maximum attachment size: 250 MB per file
Recipient Limit
You can send a bulk email to up to 250 recipients at one time.
The compose window displays a live recipient count (for example, 45 of 250 recipients).
Only clients who are eligible to receive the email count toward the 250-recipient limit.
If more than 250 eligible recipients are selected, the Send button is disabled until the recipient count is reduced.
Managing Email Notifications
Bulk emails use the client's Inbox Messages & Account Notifications email preference.
Customers can manage this setting in the Customer Portal by navigating to:
Notifications > Settings
Internal users can manage the same setting from the client's Account tab under Notification Settings.
Note: Disabling the Email setting under Inbox Messages & Account Notifications turns off all email notifications in that category, not just emails sent from the Clients page.
When to Use Marketing Instead
Bulk email from the Clients page is intended for targeted, one-time communication.
Use Marketing > Email when sending newsletters, promotional emails, or larger campaigns. Marketing emails honor unsubscribe preferences and provide engagement tracking, including email opens and clicks.
Recipient Limit
You can send a bulk email to up to 250 recipients at one time.
- The compose window displays a live recipient count (for example, 45 of 250 recipients).
- Clients without an email address do not count toward the 250-recipient limit.
- If more than 250 recipients are selected, the Send button is disabled until the recipient count is reduced.
When to Use Marketing Instead
Bulk email from the Clients page is intended for targeted, one-time communication. These emails do not honor marketing unsubscribe or opt-out preferences.
For larger marketing campaigns or emails that should respect unsubscribe settings, use Marketing > Email instead.
