Use Reports in Business Intel to build custom data views of your sales, products, and locations — then share them with the right people on your team.
To create and edit reports, Internal Users must have the Create and Edit BI Reports and Goals permission enabled. This permission is managed under Admin > Users > Roles. Visibility settings on each report determine which Internal Users can view it.
The Reports Page
Navigate to Business Intel > Reports. This page shows all reports available to you, including ones you created yourself. Reports are organized into folders to make them easier to find and manage. Use the search bar to quickly locate a specific report by name.
Create a Report
- Navigate to Business Intel > Reports.
- Click Create Report.
- Enter a descriptive name in the Report Name field.
- Select the folder where the report should be stored. Autosaved Reports is selected by default.
- Use the Visibility dropdown to choose which Internal Users can view the report.
- Optional: Enable Show on Summary Page to pin the report to the Business Intel Summary page.
- Optional: Add Editors to allow other Internal Users to modify the report.
- Click the Add Data Set dropdown and select the data set(s) you want to include. You can add up to 4 data sets per report — they'll display side by side for easy comparison. See Available Data Sets section this article for descriptions of each option.
- Fill in the criteria fields that appear. The available criteria fields — such as date range, location, and salesperson — depend on the data set selected. For a complete breakdown of every criteria option, see the Configuring Report Criteria in Business Intel article in the Resource Center.
- Configure the Summarize Data by options. See Summarize Report Data section in this article for a breakdown of each setting.
- Click Save Report.
Available Data Sets
Use the table below to choose the right data set(s) for your report.

Summarize Report Data
The Summarize Data by section controls how your report groups and displays data. It appears after you've added a data set.
Account or Client
Choose whether to summarize data by Account or Client.
- Account — Groups data by ERP account. This is the default setting.
- Client — Groups data by individual Client. Note: totals are still calculated based on accounts to avoid double-counting. Because multiple Clients can be associated with a single account, showing Client-level data does not change the underlying totals.
Product Grouping
For product-based data sets, choose how products are grouped in the report:
- Product - Specific Package — Reports on each specific product package separately.
- Base Product - All Packages — Groups all package variations of a product together under the base product.
The Product Grouping option does not appear for grain, energy, or other non-product data sets.
Summarize By
Use the dropdown to choose the dimension your report is organized around. Options include:
- Product
- Commodity
- Location
- Category
- Department
- Manufacturer
- Salesperson
- Client Account
- Month — Displays data over time and unlocks a cumulative chart, useful for tracking trends and comparing year-over-year performance. The cumulative chart is available with a custom date range and shows dollar amounts only.
- Tag
- Energy Contract Type
Display Options
The display options available depend on the data set selected. Common options include:
- Amt ($) and Qty — Shows both dollar amount and quantity. Selected by default.
- Amt ($) only — Shows dollar amounts only.
- Qty only — Shows quantities only.
Optional: Check Show average price to include average price per unit in the report.
Not all options will appear for every data set — for example, a data set that only tracks counts won't include dollar amount options.
Standardize Units of Measure
Use the Unit of Measure setting to standardize products with different units into a single unit for cleaner comparisons — for example, comparing all bulk weight products in tons rather than a mix of lbs and tons.
To display report data using a single unit:
- Select a target unit from the Unit of Measure dropdown.
Supported unit groups:
- Bulk Weight: lbs, tons, kg
- Liquid Volume: gallons, liters, oz
When a unit is selected:
- Products that support conversion within the selected unit group are converted automatically.
- Products that cannot be converted are excluded from the report.
- A notification banner will display the number of excluded products.
- The Save Report button is temporarily disabled while the Platform identifies eligible products.
- A Loading products with applicable UoM message appears until processing is complete.
Once processing is complete, click Save Report.
Reading a Report
Every generated report is made up of three parts:
- Info table — A summary of all the parameters and filters used to build the report.
- Chart — A visual representation of the data based on your summarize settings.
- Data table — The full detail view of the report data, which you can drill into by clicking on any row.
Actions from a Report
From the data table in a generated report, you can take several actions directly on the results:
- Go to a Client profile — Click the navigation dots next to any row to open that Client's profile.
- Tag accounts — Select accounts and apply a tag to group them for easy segmentation. Requires the Manage Tags on Customers permission.
- Create a contact list — Use report results to build a contact list for outreach. Requires the View Marketing Tab permission.
Search and Drill Into Report Data
From the report view, use the search bar to filter results by keyword.
To dig deeper into the data, click on any summarized value in the report. This drills into that dimension and shows a more detailed breakdown. You can continue clicking to drill multiple levels deep. You can drill into any of the following summarize dimensions:
- Product
- Commodity
- Location
- Category
- Department
- Manufacturer
- Salesperson
- Client Account
- Month
- Tag
- Energy Contract Type
Export or Print a Report
To share or save report data outside the Platform, open the report and choose from the following options:
- Download as PDF — Saves the report as a PDF file.
- Download as Excel — Exports the report data to an Excel spreadsheet.
- Print — Sends the report to your printer.
Duplicate a Report
To use an existing report as a starting point, open the report and click Duplicate. This creates a copy you can rename and modify without affecting the original.
Edit a Report
To edit a saved report, open the report and click the pencil icon in the upper right corner. This reopens the report configuration so you can update the name, visibility, data sets, summarize settings, or any other details.
Delete a Report
Report owners can delete a report by opening it and clicking the trash can icon in the upper right corner. Deleting a report removes it for all Internal Users who had access to it.
Pin a Report to the Summary Page
To make a report visible on the Business Intel Summary page, enable the Show on Summary Page toggle during report creation or when editing an existing report. Anyone with access to the report will see it on their Summary page.
