Static Customer Portal Forms allow you to share secure, fillable documents that are always available to your customers in the Customer Portal with no sending or notifications required.
These forms are ideal for collecting important information like credit applications, tax documents, or ACH forms while keeping everything secure.
When to Use Static Customer Portal Forms
Use Static Customer Portal Forms when you want a form to be continuously available to all clients, without needing to send it individually.
Common use cases include:
- Credit applications
- Tax documentation
- ACH or banking information
- Any form that requires secure submission and a signature
Where Clients Find Static Customer Portal Forms
Static Customer Portal Forms are located in the Inbox tile under the Secure Forms page.
To access forms, clients will:
- Log in to the Customer Portal
- Click the Inbox tile
- Navigate to Secure Forms page
- Static Customer Portal Forms are always visible to all clients

Secure Forms will only appear if they have been sent directly to the clients
How Static Customer Portal Forms Work
Static Customer Portal Forms are managed and uploaded by your AgVend Partner Experience Manager by emailing help@agvend.com.
To add a new form, provide:
- A PDF version of the form
- The email address of the internal user(s) that should receive completed submissions
Once uploaded:
- The form is available to all customers in the Customer Portal
- Clients are not notified when a new form is added
- Clients can complete the form at any time
What happens after submission
After a client submits a form:
- A copy of the completed form is sent to the client via email for their records
- The completed form is sent to the designated internal user(s) via email
- Completed forms are not stored in the Customer Portal or Team Hub
Managing Static Customer Portal Forms
All Static Customer Portal Forms are managed by your Partner Experience Manager.
Contact them to:
- Add a new form
- Update an existing Form
- Remove a form
- Change submission recipient email addresses
Internal users cannot edit or manage forms directly within the platform.
Static Customer Portal Forms vs. Secure Forms
Static Customer Portal Forms and Secure Forms serve different purposes.
Static Customer Portal Forms
- Available to all clients at all times
- No notifications are sent
- No tracking or submission visibility in the platform
- Limited functionality (no required fields or attachments)
- Best for ongoing, reusable forms
Secure Forms
- Sent to specific clients or groups
- Include notifications and Inbox delivery
- Can be tracked and managed
- Support attachments and required fields
- Best for one-time or targeted requests
Choosing the Right Form Type
Use Static Customer Portal Forms when:
- All clients should have access to the form at any time
Use Secure Forms when:
- You need to send a form to specific clients
- You want visibility into the completion status in the Team Hub
- You need attachments or required fields
