Streamline communications by digitally sending price estimates to your customers.
Primary Audience: All Internal Users
Quotes allow your team to create and share pricing estimates with customers directly from the Team Hub. Quotes can be used to communicate pricing, recommend products, prepare for upcoming seasons, and streamline the sales process.
Customers can review shared quotes in the Customer Portal and, depending on your platform configuration, may be able to accept the quote or place an order directly from it.
Create a Quote
To create and send a quote:
- Navigate to Quotes in the Team Hub.
- Click Create Quote in the upper-right corner.
- Search for and select the appropriate Customer, Account, and Location.
- Select the desired Quote Type.
- Add products by:
- Adding individual products, or
- Selecting Load from Plan.
- Set an expiration date if the pricing is only valid for a limited time.
- Add any customer-facing comments.
- Attach any supporting documents you would like the customer to view.
- Choose whether to select Share with Client.
- Click Send Quote.
Share a Quote with a Customer
When creating a quote, you can choose whether to select Share with Client.
Share with Client Selected
When Share with Client is selected:
- The quote is sent to the customer.
- The customer receives a notification that a new quote is available.
- The customer can view the quote in the Customer Portal.
- Depending on your platform configuration, the customer may be able to accept the quote or place an order directly from the quote.
Share with Client Not Selected
When Share with Client is not selected:
- The quote is not visible to the customer.
- The customer does not receive a notification.
- The quote remains internal to your team.
Available Quote Types
The quote types available to your team depend on your organization's platform configuration and enabled features. Because configurations vary by organization, you may not see all quote types described in this article.
Per Acre Rates and Prices
Displays product rates, pricing, and cost-per-acre calculations. This quote type is commonly used for agronomic recommendations.
Price Only
Displays product pricing without acreage-based calculations.
Seed Quote
Designed specifically for seed sales and available when Seed Quotes are enabled on your platform.
Acres Per Unit
Displays acreage coverage based on product quantities and application rates.
Viewing Quotes in the Customer Portal
Customers can view shared quotes from the Quotes page in the Customer Portal.
Customers can view:
- Products included in the quote
- Product rates
- Product pricing
- Comments shared with the quote
- Attached documents
Customers will receive an email notification when a quote is shared if they have an email address on their account and have been invited to the platform.
What Customers Can Do with a Quote
Depending on your platform configuration, customers may be able to:
- Accept a quote
- Place an order directly from a quote
- Request changes to a quote
The actions available to customers are determined by your organization's platform settings.
When a customer accepts a quote, they are indicating that they would like to move forward with the quoted products.
Accepting a quote does not create an order.
After the customer accepts the quote:
- The salesperson receives an email notification.
- The salesperson reviews the quote.
- The salesperson creates the order from the Team Hub.
During order creation, the salesperson can make adjustments as needed, including:
- Adding products
- Updating quantities
- Adjusting rates
- Modifying order details
Order from a Quote
If enabled on your platform, customers may be able to place an order directly from a quote.
When a customer orders from a quote, the order is created from the quote and may be submitted directly to the ERP if supported by your integration.
Request Changes to a Quote
Customers can request changes if they would like modifications made to the quote before moving forward.
When a customer requests changes:
- The salesperson or user who sent the quote receives a notification.
- The quote is updated in the Team Hub.
- The requested changes are made to products, pricing, rates, quantities, comments, or other quote details as needed.
- The updated quote is sent back to the customer for review.
If Quote Approvals are enabled on your platform, the updated quote may need to complete the approval process again before it can be shared with the customer.
Convert a Quote to an Order
To convert a quote into an order:
- Open the quote in the Team Hub.
- Click the Order button in the upper-right corner.
- Select the order type you want to create.
- Review and update any order details as needed.
- Save the order.
Editing Quotes
You can edit a quote after it has been sent to the customer.
Common updates include:
- Adjusting product prices
- Updating product rates
- Adding comments to explain changes made to the quote
After changes are made, the quote will be submitted through the approval process again before it can be shared with the customer.
Once approved, the customer will be able to review the updated quote.
Duplicate a Quote
You can duplicate an existing quote and send it to another customer. This is useful when creating similar quotes for multiple customers.
After duplicating a quote, you can update customer information, products, pricing, rates, comments, or attachments before sending.
Quote Expiration
You can set an expiration date when creating a quote.
Before a quote expires, the customer will receive an email notification letting them know the quote is about to expire.
Once a quote has expired, the customer can no longer take action on the quote, including accepting it or placing an order.
Salespeople can still open an expired quote, make updates, and resend it to the customer.
If Quote Approvals are enabled, the updated quote will be routed through the approval process before it can be shared again.
Attach Files to a Quote
You can attach supporting documents to a quote. Attached files are available for the customer to view alongside the quote in the Customer Portal.
Examples of supporting documents include:
- Product information sheets
- Program details
- Pricing documents
- Promotional materials
Quick Tips
- Available quote types depend on your organization's platform configuration.
- Use Share with Client when you are ready for the customer to review the quote.
- Leave Share with Client unchecked when the quote should remain internal.
- Customers can view products, rates, pricing, comments, and attachments on shared quotes.
- Customers receive an email notification when a quote is shared.
- Customers receive an email notification before a quote expires.
- Expired quotes cannot be accepted or ordered by customers.
- If Quote Approvals are enabled, sent quotes can be edited and resubmitted for approval.
- Quotes can be duplicated and sent to other customers.
- Accepted quotes require action from the salesperson to create the final order.
- Orders created from quotes can be adjusted before submission.
