When an employee leaves there are a few things you will want to do within your Digital Enablement Platform to smooth the transition. First and foremost you will need to reassign their assigned clients to other users. If you are not prepared to reassign right now, there are a few options to preserve this user’s list of clients to make it easier to reassign in the future.
- Option 1: Reassign temporarily. The ideal candidate for temporary reassignment would be someone who does not have client assignments of their own.
- Go to Clients and click open Advanced Filters.
- Use the Salesperson filter to narrow down to the customers assigned to the seller you are trying to remove.
- Checkmark all customers in the list and click Edit > Assigned Salesperson.
- Use the checkboxes to select the new user you are assigning these customers to and deselect the user you need to remove.
- Now you can preserve this list under the new user to filter down to the same way and reassign to the permanent salesperson(s) in the future.
Note: This option will allow you to remove the old seller immediately while still leaving your customers with someone they can reach out to if necessary using the “Contact my Rep” box in the Customer Portal.
- Option 2: Utilize a tag to keep track of the list you will need to reassign.
- Go to Clients and click open Advanced Filters.
- Use the Salesperson filter to narrow down to the customers assigned to the seller you are trying to remove.
- Click Edit > Assigned Tags. Scroll to the bottom of your list of tags and create a new tag to apply to these customers. Checkmark this tag once it is created and click Save.
- Now you can checkmark the same list and click Edit > Assigned Salesperson and deselect the seller you need to remove.
- When you are ready to reassign these customers, you can find them using the Tags filter on the Client list.
- Option 3: Download a list of assigned clients that need to be reassigned.
- Go to Clients > Clients. Open Advanced Filters and use the Salesperson filter to narrow down your list to clients assigned to that seller.
- Use the checkbox at the top of the client list to select all clients on the page. If your list goes beyond one page be sure to click the button to select all clients at the top of your list.
- Click “Download”.
- Now you can remove the seller from these clients by clicking Edit > Assigned Salesperson and deselect the user’s name. Click Save.
- When you are ready to reassign the clients, add the new salesperson for each client to the sheet and send to help@agvend.com to have the Partner Enablement Team help you reassign these customers in bulk.
Once you have the client assignments saved and removed from the seller, you can continue on with this list to ensure they are properly deactivated from the portal.
- Remove the Salesperson ID
- From the Admin Page, navigate to the Users tab and select the salesperson
- After selecting the specific user by clicking on their name, click “Edit User Info” within the user information summary and remove the Salesperson ID from the User Profile.
- Remove client assignments in ERP.
- If client assignments are synced from your ERP, ensure the assignments are removed there as well.
- Determine if the user still needs access to the portal as a client.
- If they do, check their User Profile to see if they are marked as “Show As Client”. If they are, this means deleting their User account will also remove their client. Go ahead and create a new Client with their personal contact info. No data will be lost as long as you link their current Account ID to the new Client.
- If they have access to Finix, be sure to have your Finix Administrator remove them.
- Reach out to the Partner Enablement Team if you need help with this.
Now you can remove the employee from the portal. Go to Admin > Users and search for the account. Click to open and click “Edit User Info”. Scroll to the bottom of the screen and click the trash can icon to delete.
Note: You will need to be a Super Admin to have the ability to delete a user.
